
Resource Manager
Houston
This full-time, in-office position supports the Kirksey team by managing the design resource library, coordinating with vendors, handling various administrative functions, and assisting with managing facilities maintenance. The role contributes to smooth operations across the Houston, Dallas, and Austin offices and supports general operations.
Resource Library Management
- Maintain and update the organization of the Design Library.
- Restock and catalog library samples and reference materials returned by employees.
- Contact vendors to update or remove expired / unused samples.
- Maintain vendor databases and an online catalog of library contents.
- Schedule and manage vendor display areas (e.g., multivendor counters).
- Assist designers by placing sample requests and researching pricing and material availability.
- Coordinate with vendors for regular updates and walkthroughs.
- Periodically review and purge outdated products in consultation with design teams.
- Maintain the reference book library and manage magazine subscriptions.
- Provide library tours and CEU protocol overviews for new employees.
- Order supplies for the library as needed.
Vendor Relations & Presentation Scheduling
- Serve as the primary point of contact for A&D sales representatives.
- Represent Kirksey’s values and culture to the vendor community.
- Track rep contacts and manage information updates in the Vision Database/HAL.
- Coordinate vendor presentations (CEUs, breakfasts, lunches, happy hours), including:
- Scheduling.
- Setup and cleanup.
- Communication to staff.
- Send invitations and track acceptance to provide vendors with attendance counts.
- Coordinate with vendors for food orders and room setup for presentations.
Administrative Support
- Support meeting planning and setup for internal and external events.
- Coordinate group travel for consistency.
- Order food and beverages for staff celebrations, Friday breakfasts, and other events.
- Monitor breakroom cleanliness and manage restocking of supplies (paper goods, plastic ware).
- Manage coffee service, soft drink and snack orders.
- Verify and approve facility-related invoices.
- Support after-hours/weekend event coordination and cleaning arrangements.
- Coordinate with Dallas and Austin office administrator for library support and presentations.
- Other administrative duties as assigned.
Reception Coverage
Provide front desk coverage duties for receptionist when needed.
- Breaks, lunch, vacations, or sick leave coverage for the full-time receptionist.
- Answer and manage the switchboard phone system.
- Manage and sign for deliveries (UPS, Hot Shot, World Wide).
- Order food as needed during coverage shifts.
Facilities Maintenance Coordination
- Work with appropriate vendors, suppliers and contractors to resolve ongoing janitorial and general building and facilities maintenance.
- Prior similar experience preferred.
- Proficiency is MS Office Suite
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- Ability to manage and coordinate with administrative staff.
- Familiarity with design industry products and vendors is a plus.
- Ability to work independently and proactively.
