Project Administrative Assistant

5 years in architecture + experience with RFI/Submittals

Kirksey is looking for a Project Administrative Assistant to join our dynamic Project Delivery Team. The Project Administrative Assistant will work directly with Studio Directors and Project Managers to help log, track, and process RFI and Submittals during the Construction Administration (CA) phase.

 

Responsibilities:   

  • Log, Track and assist project teams with managing RFIs and Submittals during construction.
  • Assist project teams in the permitting phase by tracking progress of projects. 
  • Assist in setting up projects in Kirksey specification system for project teams. 
  • Assist in processing AIA documents for project teams. 
  • Assist Project Managers and Market Directors with setting up new pursuits or projects.
  • Coordinate project contracts, additional services, amendments, and consultant contracts. 
  • Maintain and archive project documentation. 
  • Support project managers with arranging meetings, travel, interviews, drafting correspondence and technical documents as needed.

Requirements

Qualifications: 

  • Have a minimum of 5 years of experience in an Architectural or Construction firm. 
  • Experience managing/processing RFI and Submittals
  • Experience with collaborating with Architects, Engineers and/or Contractors during the construction phase.
  • Experience with managing/coordinating project documentation including contracts, budgets, and schedules with project managers.
  • Strong organizational and time management skills.
  • Knowledge of Deltek Vantagepoint or similar ERP system is preferred. 
  • Have strong communication skills, business acumen and a customer service driven attitude.
